This Privacy Policy explains how Konsa Engineering Designs (Pty) Ltd (“Konsa”, “we”, “us”) processes personal information when you use this website, submit enquiries, or communicate with us about products and manufacturing services. It is intended to support compliance with the Protection of Personal Information Act 4 of 2013 (POPIA) and describes our current website practices.

2. Scope of this policy
This policy applies to personal information collected through the public Konsa website, Request a Quote and Contact forms, WhatsApp or telephone communications initiated from the website, and related email correspondence about enquiries.
It does not cover third-party websites, messaging platforms or social networks that you choose to open from our links. Those services are governed by their own terms and privacy notices.
3. Personal information we may collect
Depending on how you interact with us, we may collect: name; company name; email address; telephone number; enquiry details; product interests; project requirements; drawings, photographs, specifications or other documents you upload; IP address; browser and device information; limited website usage data; and records of our communications with you.
We do not collect all of these items on every visit. Much of the information is provided voluntarily when you submit an enquiry.
4. Information supplied through enquiries and quote requests
When you submit a Contact or Request a Quote form, we process the details you provide so that we can assess and respond to your enquiry, prepare a quotation where appropriate, and keep a reasonable business record of the request.
Submitting an enquiry does not subscribe you to marketing communications.
5. Files and drawings uploaded by users
You may upload drawings, specifications, photographs, technical documents or related product information to support a quotation.
Uploaded information is used to assess the enquiry, determine capability, prepare a quotation, communicate with you, and retain a reasonable project and quotation record.
Please do not upload highly sensitive proprietary information unless it is necessary for the quotation. Contact Konsa before submitting such information if a separate confidentiality agreement is required. This Privacy Policy does not replace a negotiated NDA.
Konsa applies reasonable technical and organisational safeguards appropriate to the nature of the information. We do not claim that uploaded files are automatically encrypted end-to-end unless that has been separately verified for a specific channel.
6. Information collected automatically
Like most websites, our hosting environment may process technical information such as IP address, browser type, device information, and request logs needed to deliver pages securely and diagnose faults.
If you consent to optional analytics, Google Analytics 4 is used to measure how the public website is used. Analytics cookies are not set until you accept optional cookies, and administrative pages are not measured.
7. Cookies and similar technologies
We use essential first-party storage to remember your cookie preferences. Optional Google Analytics cookies operate only after you provide consent.

8. Why information is processed
We process personal information to respond to enquiries; prepare quotations; review drawings and specifications; provide products and services; manage customer and supplier relationships; maintain website security; prevent misuse; improve website functionality; comply with legal and accounting obligations; and communicate about an existing enquiry or business relationship.
9. Legal grounds or justification for processing
Depending on the circumstances, processing may be justified because it is necessary to take steps at your request before entering into a contract, necessary for our legitimate interests in operating a manufacturing and supply business and securing our website, necessary to comply with a legal obligation, or based on consent where consent is required (for example, optional analytics, or electronic marketing if introduced).
10. How information may be used
Enquiry information is used primarily to assess and respond to the request you submitted. We do not sell personal information.
We may share information with authorised staff and with operators who help us host, store, secure or process website and enquiry data, subject to appropriate arrangements.
11. Service providers and operators
Depending on the feature in use, operators may include website hosting providers (currently Vercel for this site deployment), cloud database or file-storage providers where configured for enquiry handling (currently Supabase where enabled for administrative RFQ processing), Google Analytics where you have consented to optional analytics, telecommunications or messaging providers when you choose WhatsApp, telephone or email, and technical support providers.
Email delivery for web forms may be introduced later. Until then, form submissions are handled according to the configured server workflow and any connected operators.
We only describe providers that are actually used for the relevant feature. The list may evolve as systems change.
12. Cross-border processing
Some technology providers may store or process information outside South Africa. Where personal information is transferred outside South Africa, we take reasonable steps to use providers and arrangements intended to provide appropriate protection in line with POPIA.
We do not claim that all information remains physically in South Africa.
13. Data security
Konsa applies reasonable technical and organisational safeguards appropriate to the nature of the information, including access controls for administrative systems and secure hosting practices provided by our operators.
No method of transmission or storage is completely secure. Please contact us promptly if you believe your information has been compromised in connection with this website.
14. Data retention
Personal information is retained only for as long as reasonably necessary for the purpose for which it was collected, to manage the relevant business relationship, and to meet applicable legal, accounting, dispute-resolution and recordkeeping requirements.
Deletion from active systems may not immediately remove every backup copy held for disaster-recovery purposes.
15. Direct marketing
Submitting an RFQ or contact form does not automatically subscribe you to marketing.
Enquiry information is primarily used to respond to the enquiry. If electronic marketing is introduced in future, it will use appropriate consent or existing-customer rules and provide a reasonable opt-out method. Marketing consent, where requested, will be separate from agreement to this Privacy Policy.
16. Links to external websites and WhatsApp
Clicking WhatsApp, social-media or other external links may result in information being processed under the external provider’s own terms and privacy practices. Konsa does not control those third-party platforms.
17. Rights of data subjects
Subject to applicable law, you may request access to your personal information; correction or updating; deletion where appropriate; objection to certain processing; withdrawal of consent where processing is based on consent; and information about how your data is handled.
Not every deletion request can always be granted immediately where lawful record-retention duties apply.

We may need to verify your identity before responding.

20. Children’s information
This website is intended for business and industrial enquiries. It is not directed at children. A child should not submit personal information or technical documents without the involvement of a parent or legal guardian where required. We do not use age-targeted profiling or marketing.

We may update this Privacy Policy when our practices or legal requirements change. The effective date and last-updated date are shown on this page. Material changes will be reflected by updating those dates and the published wording.
